Facilities Engineer - any of our East Anglian Offices

We are looking for a proactive, hands-on Facilities Engineer looking to make a real impact across multiple office locations.  We’re looking for someone who thrives on keeping workplaces running smoothly, safely and efficiently.

As our Facilities Engineer, you will play a key role in ensuring the continuous and efficient operation of equipment and machinery across all offices. Working closely with the Facilities Coordinator, you will oversee both planned preventative maintenance and reactive repair activities.  You will be responsible for coordinating inspection and repair work with external contractors, ensuring all RAMS documentation and relevant certifications are in place before work begins. Your role is essential to maintaining the smooth, uninterrupted running of all sites.

Additionally, you will assist with the company’s Health & Safety strategy, ensuring all incidents are thoroughly investigated, documented and reported in line with business processes.

You will also assist in managing the Property Repairs and Maintenance budget, carefully reviewing all quotations to ensure value for money and cost-effective decision-making.

 

Roles and Responsibilities

Facilities Administration

  • Assist in scrutinising and authorising invoices whilst ensuring the current budget is maintained
  • Assist in managing a programme of supplier reviews
  • Assist in managing tender processes for key suppliers
  • Monitoring supplier performance
  • Assist in anticipating contract expiry dates and renewals
  • Assist in managing associated risk and compliance issues including appropriate due diligence (see firms Outsourcing Policy)
  • Ensuring compliance with Health and Safety policy, fire drills, risk assessments, COSHH, first aid
  • Ensure Health & Safety notice boards are compliant
  • Assist in arranging Fire Drills for each office every 6 months with help from the fire marshals
  • Assist in arranging fire and first aid training for staff
  • Deputise for Facilities Coordinator during periods of absence.

Facilities Service

  • Delivery of pre-planned and reactive maintenance tasks, while adhering to health and safety standards and best working practices
  • Completing work orders and other required tasks in order to maintain the good condition and functionality of premises
  • Perform various maintenance tasks including general maintenance, installation, office moves, decoration, plumbing and basic electrical works
  • Assist in the setting up of ventilation, refrigeration and other systems, ensuring inspections and repairs are carried out by a qualified engineer when required
  • Action filter cleaning, Building Fabric, lighting testing, lamp changing and water hygiene legionella checks
  • Ensure the building asset register is maintained and updated accordingly
  • Main point of contact for any external contractors/workers that are attending site; ensuring RAMS and Permit to Work are all correct before gaining access to any site
  • Attend training courses as and when necessary to develop your technical knowledge and skills in line with business requirements, and to actively support colleagues with development
  • Regularly survey all sites and repair mechanical systems to ensure they are consistent with health and safety standards
  • Prepare, prime, and paint building interior and exterior surfaces where required; for any large decoration task seek help from a 3rd
  • Maintain and repair locks, locking mechanisms, closers, doors, and controllers.
  • Liaise with pest control to ensure any reported sightings are dealt with accordingly
  • Conduct general upkeep procedures (e.g. landscaping) and other tasks as assigned (painting, carpentry etc.)
  • Comply with all policies for the safe storage, usage and disposal of hazardous materials

Front of House duties when required 

  • Ensure you are conversant with all five offices routines and procedures in order to help cover reception and administration duties if the situation requires it

Miscellaneous Duties

  • Assist and support new members of the Central Office Services team regarding facilities related issues
  • Carry out any reasonable duties as may be directed by the Partners or the Management of the firm.

Knowledge, skills and experience required

  • Basic management experience
  • Excellent communication skills (face to face and telephone)
  • Appropriate engineering qualification – plumbing preferable
  • Must be able to make decisions and take control of situations
  • Good attention to detail
  • Experience in dealing with contractors
  • IOSH/NEBOSH qualification desirable
  • Any First Aid or Fire Safety qualification would be advantageous.
  • Methodical, even when dealing with routine tasks
  • Takes pride in work and accountable to others
  • Ability to work on own initiative, following set instructions but without supervision.
  • Computer literate with a working knowledge of Microsoft Office Word and Outlook; Excel experience would be beneficial
  • Flexible attitude to working alongside different team members
  • Basic Budget Management
  • Can use own initiative and solve problems on the job
  • Must have a can do attitude and lead by example
