Finance Team Administrator

Summary of the role:

We are offering a fantastic opportunity for someone to join the Group Finance team based in the Group Support Centre on a part time, temporary basis. The successful candidate will support the Finance Head of Department in managing his/her time and administration requirements while contributing to the overall smooth running of the Finance Department. The role is based within the Group Service Centre (GSC) providing and overseeing the efficient and effective running of an office containing a team of 50.

 

What will I be responsible for?

  • Ensuring that tasks such as, reports, incoming post, correspondence, email and general enquiries etc., are appropriately directed and all are managed efficiently.
  • Manage the diary of the Group Financial Controller and where necessary any travel arrangements and liaise with other Group PA’s/Administrators to deal appropriately with any diary conflicts.
  • Organise the office space within Finance ensuring H&S is fully considered and ensure the continual smooth running of the equipment and systems used to enable the Finance team to undertake their roles efficiently.
  • Keeping updated and proper records of the Finance team holidays, emergency contact list, sickness, PDR’s, team structure, PIA logs, finance calendars, finance team travel records (for CSR).
  • Managing the administration for any new joiners or leavers, coordinating any Finance wide notifications, new office space/ IT equipment requests.
  • Organising team meetings, external visitor meetings booking rooms and IT equipment use and catering where necessary
  • Perform general office administration tasks as and when required to meet the needs of the Finance department – e.g. managing filing and archiving systems, setting up data rooms, photocopying, reviewing presentations and reports, updating Intranet and dealing with general finance enquires,
  • Undertake other ad hoc duties, and administrative support with others within GSC, when organising Group wide activities and events.
  • Liaise with internal customers to ensure a smooth workflow between departments and with Head Office and on occasions when others visit.

 

Personal Characteristics:

  • Experience of working in an administrative role.
  • Intermediate to advanced level of proficiency with all MS Office programs and a good standard of written English. Self–disciplined, able to work independently and demonstrate good time management skills and the ability to manage a number of priorities.
  • Ability to multi-task, work efficiently and remain focused when under pressure while always maintaining a high level of accuracy and attention to detail
  • Team player, supportive of colleagues.
  • Professional and pleasant manner in dealing with internal and external customers.
  • A positive, proactive, trustworthy and reliable person who is able to focus on supporting internal customers.
