Purpose

The Executive Assistant (EA) will support the Managing Director, Head of India as well as other Directors.  Based in our Mumbai Office, this EA will be a critical connection between the Head of India and the team.  Work will include extensive and complex diary management requiring high attention to detail, problem solving and solution focused skills. This EA will be representing the Office with the highest quality of service and professionalism. 

 

Responsibilities

Responsibilities will be based on relative experiences and workloads and include the following:

  • Full EA support required to the Managing Director (MD), Head of India, which comprises extensive and proactive diary management, inbox management, organise complex travel and monthly expenses.
  • Provide EA support to other Directors.
  • Work closely with the Business Manager to ensure Department collaboration.
  • Represent the MD, Head of India with professionalism, a calm demeanour and poise.
  • Exposure to highly confidential and sensitive information. A demonstrable attitude with a high degree of discretion is required. Confidentiality is imperative. 
  • Manage all internal and external meetings and calls in Microsoft Outlook to capture all time zones, prioritising and re-arranging where necessary.
  • Work with broader leadership team, coordinate and help set agendas, meetings, events and follow up with actions and outcomes as required.
  • Fully understand the priorities of the Head of India and be the ambassador to the organisation when interacting both internally and externally with key contacts.
  • Oversee signature approvals for confidential documents such as Human Resources and Travel Team.
  • Ownership of Team Sydney page, ensuring it is up to date and relevant. Ensuring that changes are in line with agreed conceptual format.
  • Assit the Communication Team with sharing Asia Region updates to our dedicated communication channels.
  • Responsible for coordinating attendance to Committees and other high profile meetings.
  • Other ad-hoc administrative duties as required, such as settle new starters, support their onboarding and arranging team events.
  • Coordinate closely with the South Asia Business Support Team (BST) members across our South Asia offices as well as the wider BST members, attending and positively contributing to meetings.

 

The candidate

Background, skills, aptitude

Successful candidates will have a background in supporting c-suite and/or senior executives with a proven track record of operating accurately and efficiently. 

Essential;

  • Advanced diary and inbox management skills.
  • Excellent organisational skills and high attention to detail.
  • Exemplary confidentiality and discretion skills when exposed to highly sensitive company information and data.
  • Outstanding speed and accuracy in producing documents and emails to ensure tasks are delivered on time.
  • Advanced ability to manage complex travel and visa application processing for multiple geographies that may change at short notice.
  • Exemplary judgement and discretion when highlighting priorities for MD.
  • Uses initiative to proactively handle tasks that ensures progress is maintained.
  • Excellent communication skills and high level of spoken and written English.
  • Ability to work under pressure and an understanding of the importance of prioritising work and seeking assistance from colleagues when necessary.
  • Confident, proactive, cheerful and resourceful team-player both for immediate team and wider BST.
  • Sensitive to the culture diversity within BII and its investees/ investment geographies.
  • Experience in supporting multiple senior leadership team members.

Technical Skills

  • Competent in Microsoft Outlook, TEAMS, Word, Excel & PowerPoint
  • Familiar using AI tools to enhance efficiency and productivity
  • Confident handling video conference technologies (Zoom/TEAMS)
  • Proven experience in managing travel booking processes
  • Proven experience submitting accurate expense/invoice claims and data (Concur experience desirable)
