The pitch
Join us to be an integral member of our Operations team, working within a dedicated Travel team to take full ownership of the Travel desk and the internal booking service used by London based travellers without PA/EA support reporting to the Global Travel Manager based in London.
About the role
The Travel Executive is part of BII’s Operations Team and works within a small Travel Team to ensure:
- Service Delivery: Providing a central travel booking service, known internally as The Travel Desk, for travellers without PA booking support.
- Efficiency and Cost Improvements: Achieving financial and environmental efficiency through best booking practices and streamlined processes.
- Collaboration with Internal Stakeholders: Work closely with internal teams, such as HR, Security, Regional Offices, and Finance, to provide support and guidance for the travel community.
This hands-on role requires strong organisational and communication skills, the ability to manage diverse workstreams, and the capacity to work both independently and within a small team. The ideal candidate will have excellent judgment, problem-solving abilities, and experience in coordinating complex international travel and logistics.
Responsibilities
- Oversee, maintain, and develop Travel desk services to ensure efficient, high-quality delivery.
- Supervise Travel Coordinators and act as the first point of escalation for queries and issues.
- Lead efforts in risk mitigation, resource appropriation, and addressing issues and queries
- Ensure effective service delivery from BII’s travel management company, hotel partners and ground transport providers
- Collaborate with other departments to understand and coordinate travel needs seamlessly.
- Oversee employee training on travel procedures and tools to ensure consistent adherence.
- Provide guidance and support and direction to BII’s traveller community (bookers and travellers).
- Lead event and long-stay travel arrangements, ensuring all logistics are managed effectively.
- Contribute to driving continuous improvement by transforming travel processes, adopting new technologies, and enhancing efficiency.
- Take a shared lead role in the absence of the Travel Manager
About you
Essential skills:
- Experience in travel, ideally within TMC operations.
- Previous supervisory or managerial experience.
- Familiarity with travel booking software and tools.
- Can demonstrate exceptional customer service skills
- Strong interpersonal skills; approachable and able to take ownership and show initiative.
- Organised and detail oriented.
- Ability to multitask and adapt to changing priorities
- Outstanding communication skills, both verbal and written.
- Great at working with others, both within their team team and wider community.
- Intermediate level with Microsoft Office Applications (Word, Excel, PowerPoint)
Desirable skills:
- Experience with event travel, including logistics, processes, and booking.
- Awareness of sustainable processes
- Experience in crisis management and handling travel disruptions
- Ability to analyse travel data and generate reports.
- Comfortable presenting to various stakeholders.
- Candidates should be strongly motivated by BII’s development mission and ideally demonstrate some commitment to development or social goals through previous executive or non-executive activity.
