Team and role overview
Purpose
BII is looking to hire a Team PA to provide high-quality administration and business support to the Infrastructure Equity (Africa) team within the Infrastructure and Climate Group (I&C). The Infrastructure Equity Africa team has 12 investment professionals today. The successful candidate will join the team to provide comprehensive and efficient administrative support to the Director and Head of Infrastructure Equity as well as 2 other Directors in the team, as well as arranging all-team meetings and events for the wider Infrastructure Equity team. This PA will also work alongside other PAs in the I&C and BII’s wider business support team (BST) in addition to providing coverage. Due to the environment in which BII operates, the candidate needs to be resilient with the ability to be flexible, robust and support the fast-paced changes as required.
Responsibilities
Responsibilities will be based on relative experiences and workloads and include the following:
- Provide a high standard of administrative support to the Director and Head of Infrastructure Equity (IE) which includes extensive and proactive diary and inbox management, organise complex travel and process monthly expenses.
- Ability to prioritise diary requests for the Director and Head of Infrastructure Equity, ensure they are prepared for meetings with adequate time in the diary to review/preparation.
- Ensure Director is sighted on urgent internal and external deal documentation with critical deadlines.
- Assist with organisation of contractual document signing and liaise with the Deal Teams and Legal department.
- Manage all internal and external meetings and calls in Microsoft Outlook to capture all time zones, prioritising and re-arranging where necessary.
- Provide full PA support to two other Directors which comprises extensive and proactive diary management, organise complex travel and process monthly expenses.
- Represent the IE and I&C team with professionalism, a calm demeanour and poise.
- Work with broader IE team to coordinate and help set agendas, arrange team meetings and events and follow up with actions and outcomes as required.
- Fully understand the priorities of the IE team and be the ambassador to the organisation when interacting both internally and externally with key contacts.
- Support the IE team in the coordination of shared, collaborative work alongside diary management and invoice management.
- Coordinate and organise conferences for the team, including a large event that takes place each year (plus a few smaller events/conferences).
- Help coordinate team meetings/strategy days as well as team social events.
- Ownership of team Sydney page, ensuring it is up to date and relevant. Ensuring that changes are in line with agreed conceptual format.
- Other ad-hoc administrative duties as required such as settle new starters, support their onboarding and assist with team projects.
- Coordinate closely with the I&C BST and wider BST attending and positively contributing to both weekly team and monthly BST meetings.
Background, skills, aptitude
Essential;
- Strong diary and inbox management skills.
- Excellent organisational skills and high attention to detail.
- Good confidentiality and discretion skills when exposed to highly sensitive company information and data.
- Proficient speed and accuracy in producing documents and emails to ensure tasks are delivered on time.
- Good judgement and discretion when highlighting priorities for Directors.
- Good communication skills and high level of spoken and written English.
- Ability to work under pressure and an understanding of the importance of prioritising work and seeking assistance from colleagues when necessary.
- Confident, proactive, cheerful and resourceful team-player both for immediate team and wider BST.
- Sensitive to the culture diversity within BII and its investees/ investment geographies.
Technical Skills
- Competent in Microsoft Outlook, TEAMS, Word, Excel & PowerPoint
- Familiar using AI tools to enhance efficiency and productivity
- Confident handling video conference technologies (Zoom/TEAMS)
- Proven experience in managing travel booking processes including with complex itineraries, multiple visa requirements and in locations where information is sometimes difficult to verify
- Proven experience submitting accurate expense/invoice claims and data (Concur experience desirable)
