The Role

Purpose

To provide comprehensive support to the Associate General Counsel and the Legal Team, Tax and Corporate Secretariat as necessary, in day to day organization, travel, diary management as well as other administrative duties. 

A significant proportion of this role is complex diary management, including scheduling of conference calls, meetings, global travel and processing expenses.

Responsibilities

  • Complex diary management including organising internal and external meetings with multiple participants, prioritising and re-arranging where necessary
  • Complex travel arrangements including booking flights, accommodation, visas, currency, preparation of itineraries and liaising with overseas clients where appropriate
  • Processing of expense claims
  • Preparation of PowerPoint presentations and excel spreadsheets
  • Building and Maintenance of filing systems (including loading contact information to in-house database)
  • Fielding telephone calls; taking down and relaying messages accurately and redirecting calls where appropriate
  • Drafting responses to correspondence on behalf of members of the team
  • Preparation of correspondence and other documents from verbal dictation and handwritten notes
  • Occasional minute taking
  • Legal document mark-up
  • Preparation and collation of briefing papers for meetings
  • Liaising with various Government bodies, consultants, GPs, LPs and other clients

It is also expected to assist in the day-to-day running of the office, including:

  • Answering the main switchboard and covering Reception when required
  • Greeting of visitors and arranging refreshments for meetings
  • Arranging couriers
  • Dealing with the incoming and out-going post
  • Accepting deliveries
  • Photocopying, sending and receiving of documents and other general duties
  • Covering for other team PAs in their absence and in times of high workload

  • Comprehensive experience of arranging detailed and complex travel plans
