The Role

CDC is seeking to a hire a Travel Coordinator to join the growing Business Services Team. The successful applicant will support the Travel Executive in providing organisational guidance and oversight of the travel activities within CDC.

 Purpose

  • Support the Travel Executive in applying the travel policies and procedures in place to drive cost savings
  • Be an advocate of CDCs Travel Management Company to ensure a successful post implementation roll-out
  • Drive efficiencies in the booking process and support PAs and travel bookers in the oversight of best booking practices
  • Ensure CDC receive best possible service from its TMC and other travel partners
  • Apply CDCs Travel Risk Management Policy and support staff in assessing the risks of business related travel according to that policy

Key Responsibilities

Travel Management

  • Provide advice and support to the PA and booking community regarding CDCs travel policy, procedures and preferred suppliers
  • Build a solid understanding of the TMC systems used to support the booking of travel- be a ‘go to’ person to drive potential cost savings and improve efficiency of the booking process
  • Work alongside the Travel Executive in respect of maintaining and updating travel related policies and procedures, including sharing “best practice” tips, and preferred supplier usage
  • Ensure teams are following procedures, support with daily operational and administrative issues
  • Provide on hand support with the management of complex itineraries
  • Maintain preferred supplier lists, aviation travel records and initiate record keeping of travel profiles in conjunction with the requirements of CDC and its Travel Management Company
  • Support with the building, updating and maintenance of the travel site on CDCs intranet ‘Sydney’
  • Maintain traveller feedback records creating a ‘blog style’ site within Sydney that travellers can access to find information
  • Provide travel approval oversight and ensure teams are correctly following procedures, monitor for completion of risk assessments, seek support to correct non-compliant behaviour
  • Provide reports as required to support with all aspects of managing the travel programme including exception reporting and leakage

 

Travel Risk Management

  • Support the Travel Executive role in implementing the new travel risk management procedure, system and protocols

  • Work alongside the Travel Executive to communicate the new arrangements to travellers and to ensure a successful implementation

  • Liaise with travellers and local partners to support the completion of Travel Risk Assessments and assist CDC in discharging its duty of care to employees

  • Maintain a record of attendance for Travel Risk Management training, liaise with trainers as necessary and ensure attendance

  • Liaise with International SOS as required to support travellers in pre- trip preparation and other aspects of risk mitigation such as travel destination reports

  

The Candidate

Background

  • Extensive experience in booking complex travel ideally to Africa and Asia. Ideally with TMC booking experience (GDS training can be provided to the right candidate)
  • An understanding of factors in Travel Risk Management
  • Experience of travel within the financial services is also desirable

 

Technical Skills

  • A good understanding of travel related technology and how to apply it to CDCs travel programme

  • Previous GDS experience in a booking environment

  • Corporate online booking tool knowledge

  • Good Excel and Word skills

 

Personal skills and attributes

  • A good communicator not afraid to engage stakeholders at all different levels- both internally and externally to create the best outcome for CDC

  • Organised, good at record keeping, responsive, attention to detail, cost conscious- some evidence of numeracy and analytic ability for the purpose of report preparation

  • Reliable, to provide a working environment with minimum disruption and rapid response to any operational issues arising

  • Good problem solving skills a can- do attitude with a service provider mentality
