Fleet Controller

POSITION TITLE:                     Fleet Coordinator       

REPORTS TO:                         Fleet Control Manager              

 

KEY ACCOUNTABILITIES:

 

  • Support the Fleet Control Manager and Duty Fleet Controllers in directing, optimizing and coordinating the day-to-day activities of the fleet, focusing on service delivery and enhancing the customers experience, whilst ensuring service disruptions are minimized at all times.

 

  • Provide real time information to passengers in all instances, including, but not limited to, service disruption messages on social media and to other stakeholders e.g. Twitter, email service alerts, TIMS etc.
  • Responsible for sending service alert emails to internal stakeholders and operational team members, relating to vessel usage, crew availability, unallocated shifts and daily running order amendments.
  • Ensure all vessels are adequately staffed day to day, in line with operational requirements and Liaise with the Business Scheduling Executive to ensure correct crewing as required.
  • Responsible for cross-checking daily running orders against rota1 shift inputs, ensuring scheduled crews are trained to work on their assigned boats.
  • Responsible for responding to all charter booking enquiries from the Sales team, ensuring they are delivered according to the charter sheets in the most cost efficient way as appropriate, maintaining accurate records.

 

                         

MAIN ACTIVITIES:

 

  • Operate and monitor vessel GPS tracking systems, monitoring passenger numbers, directing craft as required.
  • Advise Craft and Pier staff of passenger volumes if required.
  • Cancellations: rolling out the craft cancellations and passenger information as required using real time information systems, along with information to all in house departments.
  • Liaise with Sales team to assist with charter booking enquiries, ensuring they are delivered in the most cost efficient way as appropriate, maintaining accurate records. Check running orders for week commencing, looking for shifts to cover, engineering requirements & charters
  • Work with the Business Scheduling Team to ensure the vessels are adequately staffed and minimum staffing requirements are met and consistently monitored.

Ensure the fleet operations department is adhering to the WTD and all regulatory requirements.

  • Ensure sickness and absence within the Fleet Operations team is appropriately entered into Rota1 system, and RTW form is filled, and shared with relevant stakeholders
  • Responsible for recording last minute shift changes or overtime on Rota1, to prevent any discrepancies in crew contractual hours or pay.

 

  • Track departmental recharge costs to support in the creation of a monthly financial budget reports for the Fleet Operations department.
  • Ensure requested management information and reports are shared within the required timeframe.

 

  • Appraise/ review current & forecast weather conditions, ensuring fog alerts are communicated to all stakeholders and internal processes are followed - UBTC’s fog plan is implemented.
  • Comply with the company’s safety management system and all legislative requirements, ensuring all internal policies and process are complied with. Report Incidents, Distress signals, Emergencies to Safety Executive / Head of Fleet Operations.

 

  • To attend any meetings or training appropriate to your job. Train to act as Duty Fleet Controller when required.

 

  • Provide and promote the highest level of customer service

 

  • Manage at all times the maintenance of the control room integrity and in the protection of its assets. To take care of any equipment and report faults immediately

 

  • Whilst the Fleet Controller is absent from the control room, undertake Fleet Controller’s duties.

 

  • Undertake any other relevant duties or reasonable request as requested by the Fleet Control Manager and any member of the senior management team
