Where and when do we need you?

We are recruiting for an administrator for our new residential children’s home in Swanwick. All Seasons House accommodates up to 6 children aged between 12 and 18. The home provides a structured, homely, and nurturing environment for children who benefit from clear boundaries and structure, and we believe this is the starting point to enable the children to achieve their potential supporting our overall aim of a transition into long term foster care. We believe in the possibility of healing from the effects of adverse childhood experiences and developmental trauma. Our aim is to ignite such healing through building and sustaining meaningful, trusting, and reciprocal relationships.

Working as our administrator you will be involved in a range of exciting and rewarding things like:

  • Keeping everyone organised - Overseeing the day-to-day administration duties of the home completing general administration duties, managing petty cash, ordering equipment, undertaking vehicle monitoring and ensuring that all staff and visitors of the homes are always welcomed and supported appropriately.
  • Demonstrating fantastic attention to detail - Supporting the Management Team of the home with administration duties such as diary and meeting coordination, production and circulation of agendas and relevant papers, inbox management, meeting attendance and accurate minute taking and distribution.
  • Using your great communication skills – Working with the home management team to ensure clear communication with any required third parties, internal and external. To aid and support the leadership team with Rota management, recording of staffing usage and taking part in the recruitment process.
  • Compliance is key! – Providing ongoing monitoring and management of the training matrix for the homes staff teams and to complete monthly health and safety audits for the service. Supporting the homes management in updating and creating development plans as well as six monthly regulation 45 reports.
  • Ensuring a smooth start - Supporting new colleagues during their induction week and probation period offering training and information regarding general office tasks and the use of Internal systems and processes ensuring a smooth and informed start in their new roles.
  • Working in a trauma informed environment - Playing your part in growing a compassionate, resilient and trauma informed community that embraces learning, so that we improve the lives and outcomes of every individual. Understanding the importance of working as part of a team maintaining a clean, tidy, and homely environment through effective role modelling, ensuring young people are supported appropriately during times of crisis.
  • Working as part of an amazing team – Using your ability to work as part of a team within a fast paced, busy and varied working environment.

Essential

  • Proven competent level of administration and co-ordination experience including detailed meeting recording and follow up.
  • To have a good standard of general IT skills and experience of using Microsoft 365. (Including Word, Teams, Excel, PowerPoint & SharePoint)

Desirable

  • To hold or be currently working towards a minimum of a Level 3 NVQ in administration or a related subject.
  • To have previous administration experience within a residential setting.

This role is recruited into on a 30 hour per week basis working Monday to Friday (working pattern can be discussed)All candidates must have a full driving license and have access to the use of a car. Successful candidates will be required to provide an enhanced Disclosure (DBS). This disclosure cost will be met by Fair Ways. Fair Ways are unable to provide VISA sponsorship for this role and all applicants will need to be able to provide evidence of right to work in the UK.
