Office Manager

Can you keep us and our office moving and well organised?

We are looking for someone to manage the smooth running and of all our facilities, office & grounds and be central to all aspects of IGD working life.

About the role

This is a varied and wide-ranging role that is essential for smooth day-day running of the office.  

It includes taking ownership and designing ways to continuously improving the office environment.

It also involves the overseeing and setting of high standards for all building related operations.

It is essential that you are a hands-on operator with excellent communication and collaboration skills who takes great pride in creating a great office environment for colleagues and visitors.

The responsibilities

Reporting into the People Director, these include:

Office operations

Responsible for opening the office every morning and ensuring the office is in great condition and well presented. 

Ensuring the day-day smooth running of the office.

Welcoming visitors and contractors and ensuring they have a great experience.

Responsible for replenishing drinks and snacks for the office.

Meeting rooms are utilised and well maintained.

Taking responsibility for the cleanliness of the office.

Buildings & grounds maintenance & improvement          

Designing and maintaining the long-term plan of work for our premises and grounds; advising the People Director on the programme priorities, project work options and costs for budget approval.

Advising on the selection of contractor/supplier for special projects, negotiating best rates and establishing a preferred list of contractors.

Taking responsibility for co-ordination of major maintenance works and communicating with contractors, suppliers and internal parties to minimise disruption.

Health & Safety     

Acting as the Health and Safety Officer and the competent person with responsibility for the day-to-day Health & Safety. Responsible for maintaining knowledge of Health & Safety legislation and interpreting the implications for the organisation.

Design and implementation of an annual risk assessment programme (all departments). Maintaining risk assessment records and reporting findings to our Health & Safety Steering Group or People Director.

Responsibility for induction programmes and training for all Health & Safety aspects; managing the programme for the Health and Safety Steering Group.

Fire Prevention     

Acting as Fire Officer and keeping abreast of fire regulations; ensuring sufficient fire wardens are in post, trained to the required standard; responsible for and managing routine fire checks and liaison with external Fire Officers.

Managing the building evacuation programme and carrying out regular drills. The induction of new staff in these evacuation procedures.

Budget & contracts management       

Liaising with the CFO/People Director for annual budget setting; responsibility for managing costs within any special project.

Taking responsibility for facilities and Health & Safety budgets, gaining authorisation for the monitoring of gas and electricity usage.

The management of all contracts, contractors and suppliers for building maintenance related services and supplies. Negotiation and maintaining contracts to ensure that they are fulfilled satisfactorily and achieve best value.

Recording risk assessments for all contract work, together with method statements for work prior to commencement.

Security       

Responsibility for the security of the premises, in and out of office hours; acting as a key holder.

Space Planning & Operations

Advising on the options to maximise space availability, Identifying and ordering office equipment in accordance with internal procedures and within budget.

What you bring

  • Energy and passion for creating a great office environment for colleagues and visitors
  • Previous Health and Safety experience & up to date knowledge of Health & Safety and Fire Regulations
  • Experience of buildings maintenance
  • Contract management experience – identification of suitable tenders, negotiation of contracts, both in contractual terms and value, and monitoring the execution of contracts
  • A team player with excellent communication skills
  • Adaptability, capable of meeting deadlines and dealing with changing priorities
