The operations manager will work closely with the COO and CEO to ensure MedCity has effective and efficient systems and processes that enable the organisation to be compliant and demonstrate effective performance of programmes and services.

What you’ll do:

You will play a key role in the team, creating a culture of continuous improvement and supporting team members to follow through on processes and procedures so that MedCity delivers exceptional customer service to clients. You will ensure that MedCity’s performance metrics are accurately recorded, analysed and reported in a timely way to demonstrate that MedCity delivers impact to funders and clients. In addition to the management of performance metrics reporting you will be responsible for MedCity’s CRM system and standard operating procedures e.g. GDPR, and also play a key role in the office management and business support functions.

MedCity operates as a growing diverse team, comprising of a mix of permanent, contract and seconded staff.  The organisation has a non-hierarchical culture with strong values of excellence, integrity, objectivity and transparency.  We have strong partnerships with several organisations and institutions and have some team members who work across organisations, to ensure join up and alignment of strategy and activities.  We operate this model with London & Partners, which is the official promotional company for London. London & Partners promotes London and attracts businesses, events, congresses, students and visitors to the capital. Its aim is to build London’s international reputation and to attract investment and visitor spend, creating jobs and growth for the capital.  

Role Responsibilities:

  • Developing processes and procedures to deliver a high-quality customer journey for clients (e.g. SMEs and stakeholders)
  • Collating, monitoring and reporting performance metrics, and designing and delivering management reports and/or dashboard to highlight variances
  • Monitoring organisational compliance and supporting business planning activities
  • Creating and implementing efficient and agile processes to manage MedCity’s office and business support functions
  • Managing and improving templates, costing and tender processes, and supporting team members to consistently use resources and tools to monitor resource utilisation against contract deliverables for high value projects
  • Acting as CRM superuser, supporting team members to ensure regular high quality data entry to meet reporting needs, and performing data cleansing as required

 

Person Specification  

Essential

  • Excellent communication skills and experience in operations and customer service management of internal stakeholders (including HR and L&P)
  • Well-developed written skills with the ability to communicate effectively, accurately and professionally through a range of channels, including email, reports and production of presentation materials
  • Excellent interpersonal skills, with the ability to establish and build working relationships with a variety of individuals.
  • Competent project management capabilities, and ability to influence team members without direct authority, and deliver to deadlines
  • Strong attention to detail and organisational capabilities, with the ability to maintain systems to manage data and information, including financial data.
  • Experience of using CRM systems, and ability to develop and maintain the systems and processes that enable a team to work effectively together
  • Self-starter motivated by success, who can work independently, prioritise workload on own initiative and identify opportunities to suggest improvement and be solution focused.
  • Proficient in Excel, working with formulas and Macros
  • Able to manage confidential information with absolute discretion and a high degree of personal integrity.
  • Relevant Degree or equivalent experience

 

Desirable

  • Experience of working in or with industry facing support organisations (eg. Federation of Small Businesses, Innovation Accelerators etc. as examples).
  • Experience of reporting to funding agencies e.g. European Regional Development Fund (ERDF) or similar EU or Non-EU funding programmes.
  • Finance or accounting experience

 

While the role and key responsibilities are described above, new areas of work related to the programme may emerge as it evolves. The role may involve some travel within London and the post-holder may occasionally be asked to support events that are being held in the early evening. The descriptions of the post cannot be exhaustive, and the post-holder may be required to undertake other duties, normally these will be broadly in line with the listed key responsibilities. Roles and responsibilities may also be subject to change

Location 

MedCity is based at a Central London location, operating virtually in the current environment.    Some travel within the region is possible.

Compensation 

The compensation package will be competitive to attract a candidate of suitable capability and experience and is expected to be in the range of £40-45,000 per annum, plus pension and benefits.

30 days’ holiday in addition to UK public holidays
