Claim Initiation Unit /Archive Supervisor

Purpose

We are looking for a Team Supervisor for the Claims Initiation Unit (CIU)/Archive, for the day to day running and supervision of the team to oversee the inputting of New Claim Files onto Filestream as well as the closing of Electronic and Paper files. Complete daily quality spot checks and ensure all tasks are completed accurately and efficiently whilst ensuring SLA’s are adhered to. Support the Central Services Manager with the implementation of any updates, providing clear communication to the team and escalating relevant issues to group management or IT support.

Hours:

The successful candidate will be required to work a 35 hour week, Monday – Friday, between the hours of 8am-8pm. working patterns alternate on a weekly rotational basis from 8am-4pm, 10am-6pm and 12pm-8pm. 

 

Duties and Responsibilities

  • Oversee the inputting of New Claims onto our in house system, Filestream, ensuring detailed keyed accurately and efficiently
  • Oversee the closing of Electronic and paper files
  • Monitor volumes of files kept in storage Facility and Destruction dates
  • Ensure department achieving agreed targets
  • Keep in line with departmental and insurance companies’ SLAs
  • Dealing with any day-to-day or technical matters as when they arise;
  • Monitoring performance of all employees in the department and being responsible for the department meeting SLAs & KPIs;
  • Dealing with escalated or referred matters such as complaints or complex queries;
  • Administer shift rota
  • Supervision of staff including handling HR issues.
  • Conduct monthly 1-2-1s with all members of the team
  • Undertake formal Appraisals with members of the team
  • Managing individual performance
  • Assist with recruitment, shortlisting candidates and conducting interviews
  • Undertaking quality and performance audit functions
  • Additional complex administrative duties
  • Complete internal audits for the team, deliver feedback and offer training as required
  • Escalate issues to management where required
  • Provide regular updates and attend monthly meetings with management

 

Skills/Competencies required

The successful candidate will have previous supervisory experience and be able to communicate well and at all levels of seniority and with those we provide the service for. You will also have good attention to detail and practical and organisational skills to ensure SLA’s are met.
