The Role:

Reporting to the Director of People & Development, this is an exciting opportunity for an experienced HR administrator to join the busy People & Development (P & D) team at MacRoberts.

The successful candidate will be responsible for providing administrative support to the P & D team to assist in the delivery of a first-class service to key stakeholders and employees.

Key Responsibilities:

  • Delivering an excellent HR administrative service on a range of P & D and Firm processes;
  • Monitoring the P&D inbox;
  • Assisting the P & D Adviser with the new starts process/checklist to on-board new employees using Amiqus. This will include:
    • Issuing contracts of employment
    • Managing pre-employment screening processes
    • Carrying out security checks
    • Liaising with all relevant departments
    • Dealing with reference requests
    • Coordinating inductions 
  • Maintaining employee records and confidential information in an internal database and SelectHR (HR system);
  • Being the first point of contact for notification of sickness absence, return to work process and maintaining absence records;
  • Arranging exit interviews and following the termination process/checklist for exiting employees;
  • Managing the annual practising certificate renewal for solicitors and Scottish Legal Complaints Commission Levy processes;
  • Assisting with large scale student and graduate recruitment processes;
  • Ensuring an accurate feed of data to Payroll on a monthly basis;
  • Assisting the P & D team to ensure processes and policies continue to be compliant with GDPR regulations;
  • Ensuring P & D templates and documents are kept up to date;
  • Producing monthly and ad-hoc reports by analysing our internal data;
  • Dealing with other ad hoc duties within the P & D team as required.

Required experience and skills:

Candidates must:

  • Have previous experience in an HR administrative based role;
  • Have excellent organisation skills, strong attention to detail and be able to multitask;
  • Demonstrate the ability to use their initiative and be able to work independently under effective supervision;
  • Be comfortable dealing with highly confidential and sensitive information and understand GDPR requirements;
  • Be skilled to a high level in Microsoft Office and Microsoft Excel to draw data from our system, analyse it and produce reports for stakeholders.
  • Have excellent verbal, written and interpersonal skills.

Certificate in Personnel Practice Qualification would be desirable, but is not essential.


Our approach to hybrid working allows employees a blend of working from home as well as in our Glasgow office.


£22,500 - £24,500 per annum 

Hours of Work:

Monday to Friday, 9:00am - 5:00pm, with a one-hour break for lunch.
