Role Overview

As our Operations Admin Assistant you’ll provide administrative support to our Operations Directors, Regional Support Managers, Head of Food and Drink and other members of our Support Team.  Your admin skills and attention to detail will be key to ensuring that all administration is delivered to the highest standard.

Key responsibilities

Supporting the Operations Team

  • Diary management for Operational meetings and appointments
  • Assist with regional meeting preparations
  • Compile monthly regional packs of P&L’s and reports, collate and print annual budget packs
  • Distribution of pin badges to Centres following quarterly incentives

 Supporting the Head of Food and Drink

  • First line support for all food and drink related queries from centres and support team at Hemel
  • Maintaining the F&D information on the company Intranet
  • Maintaining systems and accurate records of key information such as food and drink price bandings and bar tariffs
  • Managing the F&D budget tracker and monitoring spend
  • Scheduling and manging food and drink repairs / day to day queries both by the supplier and centres
  • Ordering of food and drink point of sale and support materials as required. Ensuring stock of these items is maintained
  • Liaising with suppliers for information regarding product changes, invoicing and other requests

 Supporting the Health & Safety Manager

  • Logging accident and incident reports
  • Gathering supporting evidence from centres for accidents / incidents and submitting evidence to insurance companies
  • Keeping an updated log of maintanance for centres
  • Maintain electronic filing system for all insurance claims etc.
  • Up keep and maintain the insurance claims log for all PL/EL claims
  • Ensure the company intranet remains current and up to date
  • Liaise with H&S Manager and printers on the 6 monthly print runs required for all manuals used within Centres,

 Admin Team

  • Assisting with the day to day answering of calls into the Support Office
  • Meeting and greeting visitors in the absence of the receptionist
  • Providing cover and support when needed in the absence of the receptionist
  • Attending and minuting meetings
  • Assisting with vending machines and ordering lunches

 Essential Requirements

  • Confident with word/excel/PowerPoint
  • Confident and assertive
  • Organised and methodical
  • Able to work on their own initiative and part of a team
  • Able to build relationships with internal customers and establish credibility quickly
  • Able to demonstrate excellent written and verbal communication skills
  • Able to provide helpful, friendly, professional customer service to centre
  • Maintain a flexible “can do” approach with attention to detail evident at all times

Essential Requirements

  • Previous experience working in an administration role
  • Leisure industry experience
