Job Profile

The postholder is responsible for the bookkeeping and preparation of Kosti field office accounts, while maintaining an accurate overview of programme and office finances to provide effective financial guidance and support to programme staff. The post holder also supports partners through capacity building on financial standards and systems, in collaboration with the Finance and Programme Manager, and assists with ensuring donor financial compliance requirements are met. Additionally, the role ensures overall financial compliance, produces budget analysis and reporting for the Finance Manager.

Key Responsibilities

 

Office Financial Management and Accounting: (50 %)

·        Responsible for bookkeeping using SUN Accounting System (Infor10).

·        Ensure timely and accurate posting of financial transactions and maintenance of financial records.

·        Support preparation of monthly accounts in compliance with CAFOD financial procedures and reporting requirements.

·        Manage bank accounts, reconciliations, cash transactions, and financial documentation.

·        Process payments for goods and services, ensuring proper authorisation and supporting documentation are in place.

·        Support administration of monthly payroll under the supervision of the Finance Manager.

·        Produce budget monitoring reports and budget versus actual analyses for decision-making.

·        Support budget preparation, forecasting, and revisions where necessary.

·        Ensure financial records are properly filed and maintained according to CAFOD document retention policies.

·        Maintain transparency, accountability, and compliance in all financial operations.

·        Provide timely financial updates and reports to the Finance Manager and programme teams.

·        Support routine grant reconciliations and reporting within CAFOD systems and WebPromise.

·        Provide finance cover during staff absences where required.

 

Partner Financial Support and Capacity Strengthening: (40 %)

·        Lead and support financial assessments of partner organisations, including reviews of budgets, financial reports, audits, systems, and controls.

·        Review partner financial reports to ensure compliance with CAFOD and donor requirements before clearance and recommendation for further disbursement.

·        Support partner organisations in developing and strengthening accounting systems, financial controls, reporting templates, and financial procedures.

·        Conduct partner capacity-building activities on financial management, accountability, donor compliance, and grant management.

·        Work closely with programme staff and partner teams to monitor expenditure and ensure funds are properly accounted for.

·        Participate in field visits, desk audits, grant start-up workshops, and partner monitoring activities.

·        Ensure partner financial documentation is complete, accurate, and appropriately filed.

·        Support timely partner audits and follow-up on implementation of audit recommendations and agreed action plans.

·        Identify and escalate financial risks, irregularities, compliance concerns, or suspected fraud to the Finance Manager.

·        In cases of significant financial management concerns, support deployment to partner organisations to strengthen financial management and reporting processes.

 

Donor compliance and development (in liaison with Business Development Lead): (10%) 

·        Develop comprehensive tools to ensure financial compliance with donor standards 

·        Support preparation of donor financial reports and audit documentation in compliance with donor and CAFOD requirements.

·        Ensure programme and partner expenditures are accurately coded and charged to appropriate budget lines.

·        Develop and maintain tools and systems to strengthen donor financial compliance and grant management.

·        Ensure all financial reports are supported by detailed transaction listings and compliant supporting documentation.

·        Work closely with programme and funding teams to establish financial frameworks for new grants and projects.

·        Support implementation and monitoring of CAFOD procurement procedures across partner programmes.

·        Ensure donor financial reporting requirements and deadlines are consistently met.

·        Support grant reconciliations and identify areas of concern requiring corrective action.

·        Ensure compliance with CAFOD complaints handling procedures and bring any concerns to the attention of the Finance Manager

Safeguarding

All CAFOD staff share responsibility to promote and maintain a strong safeguarding culture, including identifying the key actions they should take given their role and responsibilities.

Job-specific competencies

·        Accountancy qualification and sound financial understanding with practical work experience in finance or accountancy-based and administration roles for at least three years with an international organisation.

·        Experience in partner grant management.

·        Experience in working according to organisational policies and procedures

·        Fluency in Written and Spoken English

·        Knowledge of accounting systems, preferably QuickBooks and SUN Accounting System (Infor10).

·        Knowledge of Microsoft Office, especially Word and Excel.
