This role is to provide reliable and efficient administration support to the corporation tax team and corporate audit team and to assist with any other general administration necessary in the office.

Responsibilities;

  • General administration support to Audit partners and Corporate Tax teams (Midlands and Cheltenham).
  • Photocopy, scan and print documents. Prepare engagement letters – drafting signatures, formatting, sending to clients and filing – updating team for their planning documents.
  • 4) Assist with the preparation of Corporate Tax submissions
  • Ensure fee notes are up to date (for billing purposes) – raising and printing bills for all of tax team and Audit partners and managers, filing bills.
  • Take responsibility for preparing PowerPoint / WORD proposals and presentations.
  • Tagging requests – sending out tagging request, logging and attaching to Alpha tax and spreadsheet. Updating team on status for submission. Converting PDF to word for tagging, formatting word accounts for tagging, requesting word accounts from clients (same for Cheltenham).
  • Set up job codes where necessary - For M-files, IXBRL, NFP, Corporate.
  • Sorting post - Midlands and Cheltenham – following up and updating systems (Alpha tax), updating managers regularly.
  • NFP Job planning – monthly (weekly phases) – Midlands, Cheltenham, London and Reading.
  • Prepare professional clearance letters, sending to client and keeping track of received information (start to finish), filing information and updating Alpha Tax and trackers.
  • To update and regularly monitor the spreadsheets controlling the xbrl tagging of accounts and new clients – weekly checks of what has been submitted on Alpha tax – let the team know what stage we are at before submission.
  • Request online agent authorisations for new clients and monitor receipt of activation codes from clients – adding diary notes, following up with clients and contacting clients.
  • Extract weekly control reports for return submissions to HMRC and tax payment reminders to clients and monitor completion of tasks with the team
  • Job planning for corporate clients and adding jobs to team dairies – updating allocations and job code.
  • Maintain the client allocation spreadsheet and create new client records in alpha tax and archive client records where we cease to act
  • Pull off new client report from pdm monthly along with audits KYC tracker.
  • Comparing Word and PDF accounts to match.
  • Running through Alpha tax and finding signed accounts for Midlands, Cheltenham and London.
  • HMRC online – updating activation codes, requesting access, repayments, notice to return.
  • Client up keeping – creating and closing pdm codes, Alpha tax, client allocation, M-files, Prospects, KYC, NCRA forms for CT workflows
  • NFP – Creating codes for CT workflow, NCRA/refreshing KYCs for subsidiary clients, client up keeping on NFP client list (Midlands and Cheltenham)
  • Comps and returns – Printing and saving
  • Working with audit operations team to maintain new client set ups – KYC’s/professional clearances, engagements.
  • Monitoring DPD Inbox
  • Scheduling meetings for the tax team and clients
  • New client processes – start to finish (professional Clearance (contacting clients), Engagement letters (contacting clients), HMRC (contacting clients), Apha tax, PDM)
  • Saving accounts to M-files – as per CT planning and workflow
  • Clearing up WIP on job codes from previous years after bill raised
