Regular Duties (those performed on a daily/weekly/monthly basis)
- Dealing with incoming calls and transferring them onto the relevant person/take messages
- Greet visitors and inform relevant staff they have arrived
- Provide reception cover in any absence and make refreshments for staff and visitors
- Book meeting rooms for internal staff and client meetings
- Photocopying and scanning documents
- Cover for colleague’s holiday and sickness
- Sending back client records – making sure they are correct to the client’s name and all cover letters are removed before posting out – make sure spreadsheet is updated on MFiles to say returned
- Restore – retrieving and adding files
- Liaising with clients via phone and email
- Posting docs out for staff/clients
- Maintaining client confidentiality when dealing with client records etc
- Carrying out weekly kitchen and stationery stock checks
- Making sure stationery cupboard is kept tidy
- Making sure all items delivered are put away correctly
- Making sure stock cupboards in kitchen/break out areas are kept tidy and surfaces are clean and stocked up
- Scanning and saving incoming post on a daily basis to MFiles
- Maintaining an accurate filing system – MFiles, Personal Tax cupboard
- Filing Tax docs appropriately
- Keeping up to date re: who takes care of which dept/client for post-and keeping the team updated as well
- Ordering the weekly samosas
- Back up for Jenni open the incoming post, date stamp and insert into partner/manager initialled wallets and pass to Aamna for scanning to MFiles.
- Back up for Jenni be able to process the outgoing post by using the franking machine
- Book taxis
- Book train tickets and hotels through Clarity
- Process partner expenses
- Engagement letters
- Sending accounts to Companies House – back up for Lauren
- Adding signatures to letters, accounts, documents etc
- Editing accounts in PDF and word
- Bind any documents
- Be able to add funds to the franking machine if funds are running low
- Book lunches
- Arrange couriers
- Editing documents and accounts for Partners/Directors/Managers
- Maintaining an accurate filing system
- Processing legal documents through KYC and Onboarding, following strict money laundering procedures
- Rolling forward accounts
- Exercising discretion and confidentiality where required in all aspects of the above
