Property & Facilities Administrator

At Helping Hands, we’re proud of our continued growth and success as one of the UK’s leading home care providers. As part of our ambitious expansion plans, we’re looking for a proactive and organised Property & Facilities Administrator to join our dedicated team at our Alcester head office.

This is a fantastic opportunity for someone with a passion for property, administration, and operational support to play a vital role in our journey—helping us deliver outstanding care through a growing network of well-equipped branches.

 

What You'll Be Doing:

In this key role, you’ll work closely with the Property & Facilities Manager to support the day-to-day operations of the department. Your work will directly support our goal of opening new branches and maintaining high standards across our existing locations.

Your responsibilities will include:

  • Researching and identifying suitable new branch properties

  • Coordinating property viewings for Branch Managers and senior leaders

  • Managing rent, service charge forecasting and payments

  • Keeping lease, property, and maintenance databases accurate and up to date

  • Tracking and logging all planned and completed maintenance tasks

  • Supporting equipment servicing across the branch network

  • Assisting with refurbishments and fit-outs of new and existing branches

  • Monitoring supplier invoices and preparing them for approval

  • Coordinating essential services to sites (waste disposal, security, catering, etc.)

 

What We're Looking For:

We’re seeking someone who’s:

  • Organised and detail-focused, with strong administrative skills

  • Customer-focused, with excellent communication and interpersonal abilities

  • Experienced in Excel, Outlook, and Word

  • Able to prioritise and manage multiple tasks in a fast-paced environment

  • Ideally, has experience in a facilities, property, or service-focused environment
