Location: JTL Birmingham Training Centre

Working hours: Monday – Friday, 8am - 4pm

 

Job Purpose:

To provide effective administration and reception support in the training centre.

Key Responsibilities and Accountabilities:

  • To provide general administration support for the Centre and staff as required.
  • Respond to all incoming telephone calls, ensuring that these are answered promptly and dealt with effectively.
  • Receive all visitors to the centre, ensuring that their requirements are effectively met and creating a favourable first impression.
  • Maintain a safe and secure Centre environment and comply with all necessary policies.
  • Deal with incoming and outgoing post as delegated by the Centre Manager.
  • Assist with the booking arrangements for workshops, classrooms, meeting rooms and AM2 centre.
  • Assist with the collation and updating of the Centre diaries.
  • Assist with the administration of the centre stationery and stock.
  • Open up and close the Centre from time to time as delegated.
  • Actively engages in other such duties, under the discretion of the Centre Manager /Centre Administrator as and when necessary.
  • Carry out exam invigilation duties as required and requested by the Line Manager
  • Maintain a clean and tidy centre, and ensure waste is disposed of in a timely manner.
  • Create Purchase orders and upload to the central purchasing system as required and requested by the Line Manager.
  • Set up meeting rooms for events and activities as required and return to normal operating layout afterwards.
  • Ensure the safeguarding policies and procedures are adhered to and followed by everyone visiting the centre.

Person Specification

Essential Requirements

  • GCSE, Maths and English, A-C or equivalent
  • Good IT skills
  • Good organisational skills
  • Good telephone manner
  • Good communication skills
  • Good interpersonal and customer facing skills

Desirable:

  • Administration experience

An Enhanced DBS disclosure will be required
