Internal Role Title: Estate Services Administrator

Hours: 35 hours per week, Monday-Friday

You will be providing support to the Estate Services team, helping to improve efficiency within the team and overall customer service through administration, prioritisation, customer liaison and providing process oversight to support contract management.

We support agile working, so you’ll be provided all IT equipment to work flexibly between your home and at our Dartford office.

Your key tasks will include:

  • Managing the Estate Services team CRM queues and incoming activities, emails and internal requests, ensuring a balanced workload across team members and reallocating work as appropriate. Triaging incoming communications to ensure priorities are dealt with in order and urgent items are not missed. Ensuring Estate Services Officers (ESOs) have area-based queries in a timely manner.
  • In supporting ESO area email inbox management – flagging urgent matters for early attention, improving management of feedback and complaints and monitoring processes (like rectification inspections) to ensure they are being followed.
  • Assisting ESOs with diary management, reducing travel through better use of site visits.
  • Site variation paperwork: Ensuring timeliness of site additions and variations, preventing complaints due to lag in estate-based services delivery to new sites or missed areas on existing sites, and providing clarity on contractor responsibilities and accurate invoicing/payments.
  • Monitoring the number of inspections and rectifications, identifying failures to follow process that will impact on ability to apply contractor sanctions. Identify colleague training needs on existing processes.
  • Scheduling and minuting meetings on behalf of the Estate Services team ensuring minutes and actions are circulated within the required timescales.
  • Scheduling and minuting contract meetings (monthly and quarterly), ensuring effective contract management through regular contract meetings programme.
  • Acting as first point of contact on behalf of Estate Services team for callers (external and internal customers) when the team are on site and/or unavailable. Providing support to Estate Services team colleagues when they’re on site i.e. if they need a location map to clarify a query.

 

We're looking for someone who has:

 

 

  • A good standard of education with good written, verbal and numerical skills.
  • A good standard of use of MS Office suite, particularly MS Word, Excel and Teams.
  • Experience of office administration – diary management, minute taking, organising systems, records and files.
  • Awareness of the social housing sector and current issues.

 

It is beneficial, but not essential if you also have:

 

  • A good knowledge of basic housing procedures.
  • Proficiency in administrative duties.
  • A strong working knowledge of administrative processes for housing management – payments, arrears, repairs, transfer, mutual exchange.
