Your new role:

The main function of this position is to play an active role in carrying out project management and administrative tasks across projects and programs, providing project co-ordination and administrative support across a range of internal projects/programs and client assignments – likely to include (but not limited to): Infrastructure Projects/Programs and Change or Improvement Projects/Programs

Key Accountabilities: 

  • Document control across the program and coordinating the adequate storage of evidence and reporting related to the project or program
  • Delivering accurate, timely and responsive services, including registering and handling all incoming and outgoing correspondence and documentation
  • Ensuring effective document and data control occurs according to company and customer requirements
  • Registration, filing, retrieval and transmission of engineering documentation
  • Maintain facilities and databases to ensure efficient operation of the document control function
  • Supports the production of the Project Documentation Management and maintain it
  • Control documentation uniformity (template, reference, version No. etc)
  • Organizing, attending and participating in a variety of stakeholder meetings and workshops
  • Define/Improve document control process and ensure document control processes are being adopted by members on the projects
  • Train and advise team members and project partners and be a champion for best practises in document control across projects and teams
  • Providing administrative support as needed and reviewing/preparing project outputs and reporting
  • Effectively supporting the management and delivery of client assignments – making yourself flexible and outcome focussed, with a willingness to complete varied document control and co-ordination tasks as required
  • Building strong client relationships across client assignments
  • Delivering business outcomes collaboratively with employees in NRC, the wider Network Rail Group and NRC’s partners
  • Undertaking all activities in a safe environment and in accordance with NRC operating procedures.

What you will bring to the Role:

Essential:

Technical

  • Have mid-level experience of 3+ years or more senior experience in Document Controlling within the Infrastructure sector
  • Knowledge of Electronic Document Management Systems, such as Team Binder, RM8 or similar
  • Have worked in a projects team on a large-scale infrastructure project
  • Have experience working with multidiscipline teams to deliver key tasks
  • Have high attention to detail and organisation skills
  • Experience of working in a Consultancy / Client-facing environment
  • Attention to detail with developed report editing/reviewing ability & an eye for the aesthetic
  • Be professional in verbal communication and have experience dealing with clients and stakeholders directly
  • Attention to detail when listening to team members & stakeholders
  • Ability to follow standards/procedures and ensure your activities are conducted in compliance with relevant administrative, financial and corporate governance requirements
  • Ability to follow internal reporting standards/conventions – to support a client's financial, risk, safety and audit objectives
  • Have strong written communication as well as competence with MS Office tools and excellent computer and database skills
