In this role, you will support the Regional Director with both the day-to-day operation and running of the Regional Canada Office, as well as support and enable the Canadian project teams.

This is a highly adaptive and flexible role which encompasses a range of skills and service needs, including clerical and administrative support, IT support & issues resolution, availability of office supplies and provision of travel and hotel accommodation to maximise the productivity of the Canadian team.

Team Support

• Act as the ‘Brand Book Ambassador’ in formatting project documents (i.e. - memos, technical notes, reports, minutes, etc) adhering to the NRC brand guidelines.
• Manage the team's domestic and international travel and hotel arrangements in line with NRC's travel & expenses policy and agree arrangements with the appropriate Canadian team members.
• Make arrangements for training, conferences and meetings (including preparation of agenda/minutes/attendance records if requested) as directed by Canadian team members.
• Manage the approval and execution of documents via Adobe Sign.
• Manage the collection and reporting of hours worked by the project teams to aid in management of fatigue and workload.
• From time to time, it may be necessary to undertake Billable Tasks to assist during times of peak workload.
• Act as support for IT issues. Co-ordinate the resolution of team problems regarding IT and office facilities (including arrangement of repairs and maintenance as necessary), minimising the impact on team productivity.
• Manage the Mobilisation and Demobilisation flights, accommodation and relocation arrangements for new joiners/leavers.
• Coordination of on-boarding of new employees including mandatory and local induction, relevant IT and communication equipment, logins, office access and PPE.

Office Management

• Provide a consistent telephone presence on behalf of the team, delivering excellent customer service levels. Provide communications to the team, including sending messages as required.
• Undertake general office administration duties including control of all mail and courier, greet guests, undertake safety briefing to all visitors and provide refreshments to visitors.
• Ordering of stationery, consumables, business cards, specialist printing, etc.
• Ensure all office equipment is safe and working at all times (i.e. printer, VMR, etc).

Financial Support

• Utilise financial and procurement systems and act as Local Purchasing Agent (where directed).

Essential Skills required

• Excellent MS Office skills and good general IT skills at the administrator level;
• Excellent organisation, communications and time management skills;
• Customer-focused (internal and external);
• Pro-active and willingness to work;
• Ability to multi-task;
