What is the role?
This is an exciting opportunity for a Legal PA to join the Legal Team. Reporting to the Litigation Solicitor, the position will involve assisting the litigation team with the management of claims involving Persimmon Plc and its group companies including those being dealt with by the insurance company and external solicitors and helping to track all claims.
The role will include:
- Providing support to the Litigation Solicitor and the litigation team
- Inputting and updating of cases and claims in database tracker of litigation
- Opening files on the document storage platform for the litigation team and the wider legal team
- Liaising with external solicitors about cases and claims that they are managing including dealing with their monthly updates, engagement letters and invoices
- Scanning and preparing documentation
- Liaising with the insurance company including providing documentation to assist in their management of claims
- General administration including filing and photocopying
- Binding legal documents and preparing Court Bundles as required
- E-filing correspondence and documents
- Locating and requesting of files that are already in storage
- Destruction of files
- Typing up emails and letters to be sent out on behalf of the litigation team and assisting with proof reading
- Liaising with the Court regarding ongoing claims
- Managing the litigation teams diaries, coordinating meetings and appointments and ensuring the relevant parties are notified of the meetings in a timely manner
- Assisting with travel arrangements for the litigation team and ensuring the traveller has the relevant information for their trip
- Handle telephone and email enquiries
- Preparing mail for posting and dealing with incoming post - scanning, saving to the file and circulating to the litigation team
- Uploading and downloading files to the document storage platform and sharing with external solicitors
What we need from you?
- Qualified to a minimum of 5 GCSEs (including a grade C in English and Maths) or equivalent
- A secretarial NVQ / Diploma or equivalent would be beneficial but is not essential
- Experience and competence in:
- General administration – to include compliance tasks as required.
- Producing documents efficiently and accurately under direction of the team.
- Document management – to include proficiency in using Word, Power Point and Excel.
- Diary management, ideally including travel and event booking.
- Confident communication skills, both written and verbal.
- Attention to detail.
- Capability to prioritise and multitask effectively, with good time management and organisational skills, and escalating when required.
- Willing to continually learn and adapt to new procedures.
- Ability to be proactive, take initiative and self-motivate.
- Experience of working under pressure to tight deadlines while remaining calm.
- Always demonstrate discretion and maintain absolute confidentiality.
- IT skills – Confident in getting trained and using new IT systems, Microsoft Word, Microsoft Excel, Microsoft PowerPoint, typing, formatting and editing PDF documents.
