What is the role?
The role is on a fixed term basis to cover a period of maternity leave for 14 months. The purpose of the role is to provide a courteous, helpful welcome for all visitors to plc making all who come in to contact with the company feel at ease. Your positive outlook and professional attitude will enable you to deal confidently with colleagues at all levels.
What you’ll do as an Office Manager
- Managing a team of Receptionists, ensuring all administrative processes are adhered to in an effective and timely manner so that Group functions are supported.
- Managing the Reception team rota to ensure optimum coverage is provided, particularly at peak times of the working day.
- Reviewing and refining administrative processes to implement improvements wherever possible.
- Carrying out all facilities management related tasks and managing external suppliers and internal caretakers to ensure the comprehensive schedule of contract reviews, safety checks and utility payments is adhered to.
- Ensuring any ad hoc repairs to the property are quoted for and carried out in a timely fashion to ensure the Head Office is a safe place to work.
- Coordinating and communicating all policy announcements and changes to the Group functions within Head Office to help promote an informative and transparent culture.
- Overseeing the meeting room booking system and ensuring the reception team proactively deal with all meeting arrangements to ensure a positive and professional experience for those using the facilities.
- Working proactively with members of the Group functions in order to actively support with any ad hoc requests they may have.
What experience do I need?
- Well organised, self-motivated individual with good communication skills and excellent telephone manner.
- The ability to prioritise and delegate and be able to work on your own initiative as well as being a team player.
- Computer literate with experience of a number of different packages including Microsoft Word and Excel
