We are pleased to announce an exciting opportunity here at Potens for a Payroll Co-Ordinator (Fixed Term – Minimum 12 Months)

We’re seeking a proactive and detail-driven professional to join our well-established and supportive payroll team on a minimum 12-month fixed-term contract. In this role, you will be responsible for delivering accurate, timely payroll processing across our organisation, working closely with the Payroll Manager and wider teams to maintain compliance, efficiency, and high-quality service.

This position offers flexible hybrid working – primarily home-based with occasional travel to our Head Office in Birkenhead, giving you the ideal balance between collaboration and flexibility.

What you’ll be doing:

  • Collect and review time and attendance data from rota systems, ensuring accuracy

  • Amend rota data in line with authorised management instruction

  • Maintain employee pay rates for new starters, leavers, contract changes, NMW updates, and pay reviews

  • Process new starters, leavers, and contract changes in line with company policy and legislation

  • Generate contracts and amendment letters through Select HR

  • Ensure all payroll data is authorised and processed within agreed SLAs

  • Process statutory documentation such as AEOs, tax notices, and student loans

  • Manage sickness absence processing, including SSP calculations and verification of documentation

  • Process statutory payments (SMP, SPP, SAP, ShPP) including calculations, system input, and related forms

  • Calculate and process final payments including holiday accruals, loans, and deductions

  • Respond to payroll queries within set timeframes

  • Process out-of-cycle/manual payments when required

  • Liaise with HMRC, pension providers, courts, Access, Salary Finance, Tusker, and other third parties

  • Carry out payroll controls and reconciliations to ensure accuracy

  • Assist with payroll calculations, one-off payments, and continuous improvement activity

  • Maintain legislative knowledge and complete mandatory training

  • Provide support and cover for colleagues during periods of absence

  • Process expenses in line with company policy

Who you are

We’re looking for a motivated, detail-focused professional who can work independently and collaboratively. You’ll bring:

  • Minimum 2 years’ experience processing end-to-end payroll for over 1,000 employees

  • Excellent attention to detail and ability to meet deadlines

  • Strong communication skills, both virtual and face-to-face

  • A positive, hands-on, proactive approach

  • Strong organisational and time-management skills

  • Ability to engage effectively with internal stakeholders

  • Proficient in Microsoft Excel and Word

  • Experience using Access Select HR and Select Pay (desirable but not essential)

  • Familiarity with rota systems such as CareSys, PeoplePlanner, or Care Cloud (desirable)

  • Understanding of LMS/E-Learning systems (desirable)

  • Flexible, approachable, sociable team player

  • Commitment to accuracy, confidentiality, and compliance
