Join Our Team as an Estates Helpdesk Assistant

Are you highly organised, great with people, and passionate about providing top-notch support? We’re looking for an Estates Helpdesk Assistant to play a vital role in managing day-to-day operations across our diverse property portfolio — from our Head Office to branches across Wales and the borders, including both commercial and residential properties.

As the first point of contact for estates-related enquiries, you’ll help keep our operations running smoothly by logging issues, coordinating responses, and supporting internal teams and external contractors to resolve matters efficiently.

What you’ll be doing:

  • Act as the first point of contact for facilities queries via phone and email from internal teams, tenants, and contractors.
  • Log, track, and update maintenance requests using our CAFM software, ensuring accurate records and timely resolutions.
  • Coordinate planned and reactive maintenance works, including scheduling contractor visits and arranging access to sites.
  • Monitor service level agreements (SLAs), track performance, and support monthly reporting.
  • Assist with compliance checks, PPM (Planned Preventative Maintenance) scheduling, and Health & Safety tasks.
  • Support the wider estates team with administrative duties and help maintain accurate lease and service contract records.

  • Strong organisational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • A proactive, customer-focused approach to problem-solving.
  • Confidence using Microsoft Office (Word, Excel, Outlook, etc.).
  • A professional and friendly telephone manner.
  • Ability to work collaboratively as part of a team.
