Salary: £28,662 per annum plus benefits including a final salary pension scheme and generous annual leave.

We are seeking to recruit a highly motivated individual to join the Estates and Facilities Team, playing a key role in supporting the day-to-day operation of our Birmingham office and helping to deliver a safe, well-maintained and professional working environment for staff and visitors.

The main duties include providing a welcoming front-of-house facilities service; supporting meeting room set-up and office arrangements; raising purchase orders for facilities-related goods and services; maintaining accurate records for supplies, maintenance and compliance activity; monitoring stationery, office refreshments and other workplace supplies; managing incoming and outgoing mail; checking cleaning standards; logging planned and reactive maintenance tasks; reporting and following up building, equipment and maintenance issues; liaising with contractors and internal colleagues; contributing to health, safety and wellbeing across the office; and communicating effectively at all levels, both face to face and by email.

Timekeeping and reliability are essential, as the role supports the smooth running of the office and requires a visible facilities presence on site for 7 hours a day. Occasional work outside usual office hours may be required to support maintenance, contractor visits or building-related works; advance notice would be given wherever possible.

Applicants should have experience in a customer-facing or workplace support role and be reliable, approachable and practical, with a strong service focus and the ability to respond calmly to day-to-day facilities issues. A good working knowledge of Microsoft Office, including Outlook and Teams, is required, alongside the ability to prioritise tasks, maintain accurate records, work effectively within a small team and communicate clearly with colleagues, visitors and suppliers. An understanding of health and safety in an office or facilities environment would be desirable, and relevant training would be provided.

Key skills for this role include:

  • Strong customer service and front-of-house skills, with the ability to support staff, visitors and contractors professionally.
  • Good practical understanding of facilities, workplace services and day-to-day office operations.
  • Ability to log, monitor and follow up planned and reactive maintenance tasks accurately.
  • Awareness of health and safety requirements in an office environment, including safe working practices and reporting concerns.
  • Good organisation and prioritisation skills, with the ability to manage competing tasks and respond to urgent facilities issues.
  • Clear communication skills, both face to face and by email, with colleagues, suppliers and contractors.
  • Attention to detail when maintaining records, supplies, purchase orders and facilities documentation.
  • Reliable, proactive and flexible approach, with a willingness to support occasional out-of-hours works when required.
