Salary: £16,105 per annum (based on FTE £24,146)

Sports Centre Administrator

Overall Purpose

Reporting to the Sports Centre Manager, manage the facility bookings and memberships administration for a busy Sports Centre reception. This role will also include receptionist duties, being the first point of contact for members and pupils, welcoming them into the Sports Centre. Work with the Sports Centre manager to ensure banking and cash reconciliation is correct, compiling KPIs and reports as necessary.

 Duties

  • Welcoming all users to the Centre with an informative, interested and friendly approach
  • Help promote the facilities, services and memberships available to all Canford Communities and the public.
  • Process and administer facility bookings including generation of invoices, correspondence and the updating of hire agreements. Chasing debtors for payment when necessary.
  • Update Blue Runner with bookings to communicate to necessary school depts. Including security, transport, catering etc.
  • Leading on the cash reconciliation on a daily and weekly basis, working with finance to ensure that reports and statements are kept up to date.
  • Reconcile vending machines on a weekly basis noting any variance on balance.
  • Reconcile the Golf guest green fees on a weekly basis, reporting income as part of banking.
  • Assist in the handling of member’s suggestions, complaints and feedback, ensuring the centre manager is made aware and important issues are escalated.
  • Dealing with telephone and email queries and passing on to the relevant area.
  • Processing sports centre memberships Keeping membership records up to date and dealing with any queries regarding fees and renewal dates.
  • Processing and administering the Golf memberships on a pro rata basis and annual renewal, recording and facilitating all new Golf members booking forms informing Golf Club committee of new member.
  • Manage the monthly standing order/direct debit payments, ensuring that leisure management system is updated with relevant payments, billing and member arrears.
  • Monitoring users and ensure that members register/log in when they come into the Sports Centre
  • Preparing monthly KPI reports on finance, membership, facility hire and head count for all centre programmes.
  • Manage and process all data in accordance with GDPR regulations and Canford School policy.

  • Previous telephone / receptionist experience  (D)
