This role is a 12 month maternity cover contract.

Purpose of the Role:

This is a national role, reporting into the firm's Director of Technology. The role is London-based and will entail some travel to the firm’s regional sites for helpdesk, administration, and project work.

The standard hours are 9.30 - 17.30, but these may vary within the overall Helpdesk shift pattern of 8.00 - 18.00. In addition, there will be a requirement for weekend work and/or overtime.

Responsibilities - Key responsibilities include, but are not limited to:

  • Implementing suggestions for Administration tasks.
  • Providing support and guidance for Partners, Managers, and Employees on Technology administration-related issues and matters.
  • Making sure that the day-to-day delivery of work runs smoothly and escalating any issues to the National Senior Administrator, if needs be.
  • Monitoring an additional mailbox & logging the queries in a ticketing system.

Team Collaboration and Project Management:

  • Communicating effectively with the Helpdesk Manager, Operations Director, and Infrastructure team, ensuring all projects are on track and that any tasks or changes are always communicated.
  • Overseeing the technology administrator, ensuring all tasks are being completed efficiently and helping to prioritise both daily tasks and any ad-hoc tasks as needed.
  • Prioritising daily, weekly, and ad-hoc tasks for both you and the administrator to ensure smooth workflow.
  • Ensuring all team members are kept informed and supported throughout the process.

Inventory & Hardware Management:

  • Day-to-day management of detailed spreadsheets for Crowe laptops and mobiles allocated to users in all offices.
  • Tasks include adding new starters, ensuring equipment is assigned and shipped out ahead of their start date, and coordinating the return of old equipment for replacement.
  • Managing hardware and software assets via the ticketing system, ensuring accurate importing and amending of asset information.
  • Arranging laptop and mobile renewals every 4 years for laptops and 3 years for mobiles.
  • Keeping track of allocated spare machines, CaseWare audit machines, and liaising with IT contacts to collect redundant equipment for charity.
  • Ensuring the London office server room is hazard-free and always maintained.
  • Managing stock levels and orders per site, including general IT equipment, mobile phones, and laptops.
  • Organising couriers, deliveries, and liaising with the Print/Post Room for necessary equipment transport.

Purchase Ordering System:

  • Managing the Purchase Order system.
  • Liaising with four main suppliers to obtain three quotes per order.
  • Performing monthly checks to ensure all costs are accounted for on the company card and sending them over to the Finance team for review.
  • Ordering and maintaining an accurate record of laptop and router stock for the company.
  • Daily management of Purchase Orders.

Administration and Software Licensing Management:

  • Managing the Administration inbox, responding to all emails in a polite, friendly manner, and raising tickets for the Helpdesk with all relevant details.
  • Liaising with IT contacts to ensure New Starters’ progress is tracked and communicated effectively.
  • Ensuring that all software licenses are renewed before expiration and maintaining accurate records of all purchased licenses.
  • Organising the return of equipment from leavers and ensuring all items are collected before their departure.
  • Scheduling and coordinating overseas calendar entries after approval from HR.

Site Visits & Regional Office Coordination:

  • Travelling to regional offices as required, organising and tidying server rooms, and ensuring equipment management processes are consistent across sites.
