What is the role?

The purpose of this role is to provide and perform general administration and secretarial support using own initiative and self-motivation where necessary to support the Buying and Quantity Surveying functions.

Primary Responsibilities

  • Taking messages on behalf of team members who may be out of the office or away from their desk and distribute in a timely manner
  • Assist in secretarial duties for the team, including audio typing, word processing and the use of excel spreadsheets
  • Issuing correspondence and updates to subcontractors and suppliers (including recording and collating responses)
  • Updating databases; raising orders and collating health & safety documentation
  • Documentation Management: Maintain accurate records and documentation related to commercial projects, including contracts, agreements, and procurement documents, subcontract & supplier databases.
  • Supplier & Subcontractor Liaison: Assist in liaising with suppliers and subcontractors, including issuing purchase orders, terms & conditions, processing invoices, and resolving any administrative queries.
  • Data Entry and Analysis: Enter data accurately into relevant systems and assist in generating reports and analyses to support decision-making within the commercial department.
  • Meeting Coordination: Organize and schedule meetings, take minutes when necessary, and distribute relevant documents to attendees.
  • Support to Commercial Team: Provide general administrative support to the commercial team, including filing, photocopying, and managing correspondence and the preparation of departmental reporting documents.
  • Compliance and Regulation: Assist in ensuring compliance with relevant industry regulations and company policies, including health and safety standards and procurement procedures.
  • Commercial Communication – Issuing relevant communications to internal & external stakeholders.
  • Provide cover for the Receptionist during lunch/break times/holidays on a rota basis.
  • Departmental archiving.
  • Maintain departmental calendar ensuring it is kept up-to-date with all holidays and meetings.
  • Specific tasks as requested by the Commercial Director / Commercial Manager.

What experience do I need?

  • Good written and verbal communication skills
  • Previous experience within an office environment
  • Computer literate with experience of a number of different packages including Microsoft Word, Excel, Power Point and Outlook
  • Ability to be well organised, self-motivated with high attention to detail
  • Be able to multitask and work to targets
