What is the role?

The purpose of this role is to assist the Construction Director by providing comprehensive secretarial support in a range of administration duties to ensure smooth running of the construction department.

Primary Responsibilities

  • Producing letters on a range of employee matters, arranging meetings, taking minutes, responding to emails and managing the Construction Director’s diary.
  • Assisting members of the Public, Employees, Senior Management and Board Members effectively and efficiently thereby maintaining the highest standard of customer care and resolving queries to a satisfactory conclusion.
  • Maintaining the Construction Departments holiday records for weekly employees
  • Maintaining weekly absence sheets
  • Liaising with CITB/Colleges regarding Apprentices, keeping their records up-to-date and coordinating annual pay increases
  • Liaising with Contract Managers and Site Managers informing them of any accidents or incidents on site
  • Arranging internal and external Health & Safety courses for site staff
  • Coordinating CSCS cards for site staff
  • Ensuring the Health & Safety Policy and Procedures are up to date
  • Preparing and maintaining the Health & Safety filing system
  • Updating build progress on to COINS
  • Monitoring green cards/CMLs

What experience do I need?

  • Previous experience in a similar role essential
  • Fully conversant with Microsoft Office including, Excel and Outlook
  • Excellent communication skills both written and verbal
  • Experience in managing and prioritising multiple tasks
