What is the role?

We are excited to be recruiting a Construction Secretary to join the Construction Team. This role reports to the Construction Director.

The purpose of this role is to assist the Construction Director by providing comprehensive secretarial support in a range of administration duties to ensure smooth running of the construction department.

What you’ll do as a Construction Secretary

  • Provide comprehensive administrative support to the Construction Director, including diary management, correspondence, meeting coordination, minute taking, and handling departmental enquiries from employees, senior management, board members, and the public.
  • Maintain construction workforce records, including holidays, absences, apprentice administration, training records, CSCS cards, and coordination of CITB/college programmes and annual apprentice pay reviews.
  • Coordinate Health & Safety and compliance activities by arranging training, maintaining Health & Safety policies and filing systems, reporting site accidents and incidents, and preparing site compliance documentation, including Red Box, COSHH, forklift, and Project Environmental Plan folders.
  • Manage construction administration and regulatory documentation by updating build progress and CMLs within COINS, registering developments with NHBC and Premier Guarantee, liaising with Building Control to obtain completion certificates, and ensuring warranty and compliance records are accurate and up to date.

What experience do I need?

  • Previous experience in a similar role essential
  • Fully conversant with Microsoft Office including, Excel and Outlook
  • Excellent communication skills both written and verbal
  • Experience in managing and prioritising multiple tasks
