Sports Operations Co-ordinator
Overall Purpose
Co-curricular activities play a vital role in the school day for all our pupils and the Sports Operations Co-ordinator’s role will ensure that the successful organisational delivery of the co-curricular and sport activities adds to the experience of all pupils in their time at Canford. Reporting to the Director of Sport and Physical Wellbeing who carries overall responsibility for the planning, delivery and administration of the programme, the Sports Operations Co-ordinator is required to support the delivery of Canford School’s sports programme. In addition, the Sports Operations Co-ordinator will take prime responsibility for the planning of Prep school sports festivals and events that take place at the School. The Sports Operations Co-ordinator may delegate some sports administration to the Sports Graduate Assistants, after consultation with Director of Sport/Assistant Director of Sport.
Duties
Administrative Support:
- Assist the Director of Sport & Physical Wellbeing, Assistant Director of Sport and Heads of Sports in administering the sports options lists from the SOCS Co-Curricular system.
- Oversee Canford Sports pages on SOCS and ensure team lists are placed on it in a timely fashion (usually 24 hours in advance of fixtures) and chase up when not done so.
- Collate and edit the weekly sports reports and results, ensuring up to date results are on the website and chasing up when they are not there.
- Assist teaching and sports staff with their administrative duties in areas such as:
- Adding Fixtures to SOCS and assisting with publishing team sheets
- Booking and confirmation of match teas and liaising with catering
- Booking and confirmation of match officials
- Ordering and inventorying of kit and equipment, in liaison with the school shop where necessary.
- Act as the link between staff and the Marketing Department in ensuring sports reports are posted on to the school web site and liaising on articles for any other publications such as The Canfordian
- Ensure the match day signs are correctly labelled and co-ordinate with Portering, the allocation of these signs on major sports days
- Ensure relevant and appropriate communication is made to the pupils in teams with regards to selection, departure times, kick off times, lunch, kit requirements etc.
- Provide administrative support for holiday sports camps
- Facilitate the end of term Sports Dinners
- Oversee the process for Sports Photos
- Undertake the administration of Sports Scholarships days and Prep School Visits
Transport
- Organise and confirm transport requirements for the sports activities in accordance with the weekly sports calendar, liaising with teaching and sports staff as necessary.
Health and Safety
- In liaison with House staff, produce lists of pupils having permission not to travel to or from fixtures on official school transport. HsMs and sports coaches are required to provide this information.
- To have an accurate and up to date list of pupils who have travelled off site for sports fixtures
- To have access to isams or any other necessary information (e.g. medical records, contact numbers) for pupils and staff participating in school sport fixtures.
- To be available by phone/email on match afternoons to be a point of contact for staff or parents.
- In conjunction with the Director of Sport/Assistant Director of Sport/Estates Bursar/Head Groundsman to undertake, where necessary, risk assessments and reviews for sporting events and the school’s sports facilities

- Highly organised individual
- Good IT, written and verbal communication skills
- Able to work well on own initiative but a solid team player
- Someone who can establish a good rapport with pupils but can also instil discipline
- Creative thinker to help stimulate new ideas and build on old successes
- Prepared to take on tasks and instil others with a “can-do” approach
- Ability to keep calm in difficult situations.
- The successful applicant may have the background to be able to contribute to the coaching programme and/or experience in school / youth sports programmes.
