Purpose of the role: This is a National role, reporting into the firms National Senior Administrator of Technology Administration. The individual forms part of a team of nine supporting 1600+ users Nationwide.

The role is London based and will entail some travel to the firm’s regional sites for helpdesk, administration and project work.

The standard hours are 9.30-17.30, but these may vary within the overall Helpdesk shift pattern of 8.00 -18.00. In addition, there will be a requirement for weekend work and/or overtime.

Responsibilities - Key responsibilities include, but are not limited to:

  • Building and maintaining effective relationships with senior stakeholders, leaders, and colleagues within the Firm

  • Implementing suggestions for Administration tasks
  • Providing support and guidance for Partners, Managers and Employees on Technology administration related issues and matters
  • Making sure that the day to day delivery of work runs smoothly and escalates any issues to the National Senior Administrator, if needs be
  • Monitoring an additional mailbox & logging the queries in a ticketing system

Management of logging the following tickets in our document management system (M-Files):

  • HR Processes – New Starters, leavers, change of employment, change of personal details, maternity leave, sabbatical leave etc
  • Hardware – Replacement machines, routers, mobiles, Remarkables, Mi-Fi Devices
  • Service requests tickets
  • Software Installs
  • Inventory Updates
  • Logging telephone queries as new tickets for the Helpdesk to deal with

Inventory & Hardware Management:

  • Day to day management of both detailed spreadsheets – one for our Crowe laptops and the other for our Crowe mobiles allocated to users in all offices.

Tasks include the following:

  • Adding New Starters and ensuring equipment is assigned to them and shipped out ahead of their Start date
  • Adding replacement equipment and chasing for the old equipment to be returned
  • Arranging new laptop and mobile renewals (every 4 years laptops are renewed, and 3 years for mobiles)
  • Keeping on top of the allocated spare machines, CaseWare audit machines etc in each office
  • Liaisng with our IT contacts and organising for redundant equipment to be collected by Computer Aid charity
  • Making sure the London office server room is always clear and hazard free
  • Managing all stock orders & stock levels per site, including general IT equipment, mobile phones & laptops
  • Organisation of couriers and deliveries/liaising with Print/Post Room
  • Organising the return of all equipment from leavers
  • Removing Leavers and chasing for their equipment before their leave date
  • Site visits to all offices, to organise and tidy server rooms

Purchase Ordering System:

  • Managing the Purchase Order system
  • Liase with our four main suppliers, asking them for 3 quotes per order
  • Monthly checks to make sure all costs are accounted for on the company card, ready to send over to the Finance team for review
  • Ordering and keeping on top of Laptop/Router stock for the whole company
  • Daily management of Purchase Orders

Managing the Administration Inbox:

  • Responding to all emails in a polite, friendly manner
  • Raising tickets for Helpdesk and including all relevant information
  • Liaising with IT contacts to ensure everything runs smoothly and they are kept aware of New Starters progress
  • Once approved by HR/Natasha Kenny, adding Overseas Calendar entries into the Overseas Calendars with dates
  • Liaising with Suppliers with queries/PO's
  • Software Licensing Management:
  • Making sure we have a record of what we have purchased and that our Licenses are renewed before they expire

Technical skills, experience & knowledge:
