Business Administration Apprentice

Purpose of role:

As a member of the office services team ensure that the office facilities function effectively and that excellent general administrative support is provided, delivering great customer experience to all.


Key Responsibilities

Office Services

• Ensure incoming customer calls and visitors are efficiently dealt with in line with our standards.
• Ensure reception, hub, kitchen areas, and other common areas of the building are maintained delivering the best possible customer experience
• Ensure the central purchasing activities including office stationery, travel and accommodation, are dealt with efficiently being mindful of best buy requirement.
• Develop and maintain effective administrative systems and ensure that all reporting, recording and filing is completed on time
• Provide support to the wider business with organisation of larger corporate activities.
• Provide administrative support for customer training.
Note: In addition to these responsibilities, employees are required to carry out other such duties as may reasonably be required


Skills, qualifications and competence level
Essential
1. Good IT skills (to use the Microsoft applications, telephone system and other systems used within the business)
2. Strong organisational skills, with the ability to multi-task
3. Able to manage unscheduled and unsolicited demands at times
4. Interpersonal skills, confident, assertive and professional in interactions at all levels, internally and externally
5. Good written communication
6. Effective team working skills to ensure cover is maintained within the team, by offering and receiving assistance
7. Accuracy and ability to follow instructions

9. Able to work autonomously and manage own workload

11. Knowledge of travel and accommodation planning and booking
12. Experience of negotiating prices to maximise quality and benefits while minimising costs
