Events and Communication Coordinator

 
 

This role is a 12 months Fixed Term Contract designed to provide comprehensive support to the Party’s policy development work.

The role focuses on two areas:

1.      Advancing the priorities of the policy programme by providing logistics and events coordination support; and

2.     Communications with relevant Programme audiences, including individuals and groups making policy-related submissions, as well as wider audiences to ensure updates are on progress at portfolio and programme levels.

 

The ideal candidate will be a proactive, self-driven individual who provides genuine support to enable policy development activities and to build engagement. This role requires a deep commitment to advancing the priorities of the policy programme, along with a demonstrated capacity to think critically, adapt swiftly, and communicate well with members, the public and others involved in the programme.

Role responsibilities

  1. Travel Coordination:
  •  Book transportation for programme team members, ensuring all logistics align with schedules and agreed budgets.
  •  Handle changes to travel plans, cancellations, and last-minute adjustments as necessary.
  • Maintain a comprehensive travel calendar and ensure all relevant details are clearly communicated to travellers.

 2. Venue Identification & Scheduling:

  •  Research and identify suitable venues for events or meetings based on specific requirements (e.g., size, location, amenities).
  • Negotiate with venues for booking rates, availability, and other event-specific needs.
  • Coordinate venue bookings, ensuring all logistical details (e.g., catering, AV equipment, seating arrangements) are confirmed in advance.

3. General Logistics Support:

  • Provide administrative support to ensure smooth event operations, including arranging schedules, equipment, and services.
  • Manage and track RSVPs for events, ensuring all attendees receive necessary travel, venue, and event information.
  •  Assist with creating and organising itineraries, agendas, and event schedules.
  • Handle any other remote logistics tasks that arise, such as coordinating with vendors, securing permits, or arranging materials for events.
  • Maintain clear and accurate records of all logistics-related documents (e.g., travel itineraries, venue contracts, invoices).

4. Internal communications:

  • Act as the point of contact for internal team members and external partners for all logistics-related inquiries
  •  Regularly update stakeholders on travel and event statuses to ensure alignment with expectations and goals
  • Ensure all travel and event details are documented accurately and shared in a timely manner.

 5. External communications:

  • Responsibility for communications with individuals and organisations making policy submissions to ensure those submitting thought-through proposals feel engaged and valued.
  • Ensure audiences are updated through a range of channels, working with the Digital and Media teams.

 6. Attention to Detail & Organisation:

  • Proactively identify potential issues or conflicts and work to resolve them before they arise.
  • Ensure all tasks are completed with precision and deadlines are met.

 

This role will require flexibility across the organisation, and a willingness to get involved in other roles or functions where additional support is needed at any time.

Professional experience and qualifications

o   Proven experience in logistics coordination, travel booking, or event planning.

o   Proven experience in an externally facing communications role.

o   Prior political experience not essential however a sound knowledge of public policy and portfolio areas is necessary.

·       Excellent organisational skills with the ability to manage multiple tasks simultaneously.

·       Strong attention to detail and a proactive approach to problem-solving.

·       Excellent communication skills (both written and verbal) with a customer service mindset.

·       Ability to work independently and remotely with minimal supervision.

·       Strong time management skills and the ability to prioritise tasks effectively.

·       Ability to handle high-pressure situations with professionalism.

·       A proactive, can-do attitude with a willingness to learn and adapt.

·       Ability to anticipate needs and act quickly to resolve issues.

·       Excellent relationship building to offer genuine support to Shadow Cabinet members.

·       Creative, with a strong ability to develop and implement innovative solutions to problems and opportunities in a fast-paced environment
