Repairs Partnering Manager

Internal Role Title: Repairs Partnering Manager (Specialist Repairs)

Hours: 35 hours per week, Monday-Friday

Location: Dartford

We are on the lookout for an experience Repairs Partnering Manager, in Specialist Repairs, to manage and improve the performance of our repairs, maintenance and planned contractors, covering all partnering arrangements and ensuring continuity of service across the team. You will also be monitoring contractor(s) performance and where necessary implement change to ensure we deliver compliance, best practice, and value for money for our customers.

You will split your time based at our Dartford office, and occasionally going out to sites.

You will be:

  • Managing direct reports to include target setting, performance management appraisals, training and development.
  • Monitoring and managing the performance of service providers and partners to develop, promote and advance Moat’s strategic & business objectives in the delivery of repairs & maintenance, planned works and voids. Ensuring that they comply with contract terms & adopt a culture of continuous improvement.
  • Working with the Business Transformation & Insight teams, manage the collation & ongoing development of analytical data to identify trends. Benchmark against comparable organisations, shape & inform improvement plans, so we move away from a reactive asset management service.
  • Working with the Head of Repairs Partnering & Customer Care, assist in reviewing and developing key partnering contracts, exploring the wider market for innovative delivery models and implementing smaller pilots if applicable.
  • Being responsible for identifying, assessing, and mitigating operational risks within their business areas.  Risks that are increasing or emerging should be raised with the person responsible for the business area.
  • Producing monthly KPI and statistical reports on service provider performance achieved against target. Present and publish detailed data as necessary to interested stakeholders.
  • Monitoring actual costs against budget, identifying and implementing actions with stakeholders and report back exceptions at the monthly budget meeting.
  • Ensuring information databases are maintained and ensure data integrity by carrying out monthly audits and ensuring compliance with GDPR regulations.
  • Being responsible for service-related complaints / queries from customers within the field of operation ensuring that the customer experience is positive, professional and within set timescales.
  • Providing out of hours telephone cover on a rota basis.

We are on the lookout for someone who has:

  • A good standard of education, with good literacy and excellent numeracy.
  • An understanding of the regulatory framework in which Moat operates and the principles of managing maintenance, minor repair and refurbishment contracts, supported by significant practical experience.
  • An ability to use Microsoft Dynamics, CRM, MS Office suite, Word and advanced Excel, for general administrative purposes.
  • An ability to interrogate database systems and undertake analytical reports.
  • Awareness of Health and Safety as it relates to residential and commercial properties.
  • Experience and skills managing customer relationships to ensure a high level of customer care and satisfaction.
  • Appropriate means of transport and the ability to work outside of normal office hours, as necessary.

 

 

In addition, the following would be beneficial but aren’t essential:

 

  • A higher education property related technical qualification or equivalent experience.
  • Advanced use of Microsoft Dynamics, CRM, MS Office suite, Word and advanced Excel, for general administrative purposes
  • Thorough knowledge of budget management.
  • Good knowledge of the law surrounding tenancy management (e.g. Landlord & Tenant Acts).
  • Experienced in managing all forms of contracts in respect of residential and commercial contract management with understanding of resident consultation requirements (s20).
  • Comprehensive knowledge of the law surrounding leasehold management (e.g. Commonhold & Leasehold Reform Act 2002) & disrepair.
